01Personal Information We Collect

1.1 Information You Provide Directly

You or your organization may provide this information either by signing up for the Services directly (“Self-Serve Signup”) or through a sales-assisted Order Form process, as described in our Terms of Service.

• Account and profile information: name, business email address, phone number, job title, company name, username, and password.

• Business tax identification information: a business's Federal Employer Identification Number (FEIN) or comparable business tax identification number, where Customer chooses to submit this to use certain features of the Services.

• Billing information: billing name, billing address, and limited billing metadata. Full payment card numbers are collected and processed directly by our payment processor, Stripe (see Section 4 below).

• Communications: information you provide when you contact support, respond to surveys, or otherwise communicate with us.

• Content you submit: business, sales, and operational data and other content you or your organization input into the Services (this is generally “Customer Data” under our Terms of Service, collected on behalf of the business customer, not “you” individually).

1.2 Information Collected Automatically

• Device and usage data: IP address, browser type, operating system, referring URLs, pages viewed, and timestamps.

• Cookies and similar technologies: we use cookies and comparable technologies to operate the Services, remember your preferences, and analyze usage. See Section 6 (Cookies) below.

1.3 Information from Other Sources

We may receive information about you from our business customers (for example, if your employer creates a Sitehub Suite account on your behalf), from service providers (such as analytics or payment processing partners), or from publicly available sources.

02How We Use Personal Information

We use personal information for the following purposes:

• To provide, maintain, and support the Services, including account creation, authentication, and customer support;

• To process payments and manage billing, including through Stripe;

• To communicate with you about your account, service updates, security notices, and administrative matters;

• To send marketing communications about our products and services, where permitted, and which you may opt out of at any time;

• To monitor, analyze, and improve the Services, and to develop new features;

• To detect, investigate, and prevent fraud, abuse, and security incidents;

• To comply with our legal obligations, including tax, accounting, and financial reporting requirements; and

• To enforce our Terms of Service and other agreements.

We do not use personal information for purposes materially different from those described above without providing notice and, where required by law, obtaining consent.

03How We Share Personal Information

We do not sell personal information, and we do not share personal information for third parties' own marketing purposes. We may share personal information as follows:

• Service providers: with vendors who perform services on our behalf, such as cloud hosting, payment processing (Stripe), customer support tools, analytics, and email delivery, under contractual confidentiality and data protection obligations;

• Business customers: if you access the Services through an organization's account, that organization's administrators may be able to access, restrict, or export information associated with your use of the account;

• Legal and safety reasons: to comply with applicable law, legal process, or government request, to enforce our agreements, or to protect the rights, property, or safety of Sitehub Suite, our customers, or others;

• Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections; and

• With your consent: for any other purpose disclosed to you at the time of collection or with your consent.

We may also share aggregated or de-identified information that cannot reasonably be used to identify you, without restriction.

04Stripe and Payment Information

We use Stripe, Inc. (“Stripe”) to process subscription payments. When you provide payment information, it is transmitted directly to and stored by Stripe; we do not store full payment card numbers on our own systems. Stripe's collection and use of your information is governed by Stripe's own privacy policy and terms, available at https://stripe.com/privacy.

We receive limited billing-related information from Stripe (such as billing name, billing address, transaction status, and the last four digits and type of a payment card) to reconcile payments, manage subscriptions, and provide customer support.

05Data Retention

We retain personal information for as long as necessary to provide the Services, comply with our legal and contractual obligations (including financial recordkeeping requirements), resolve disputes, and enforce our agreements. Retention periods vary depending on the type of information and the purpose for which it was collected. When personal information is no longer needed, we take reasonable steps to delete or de-identify it.

06Cookies and Tracking Technologies

We use cookies and similar technologies to operate the Services, keep you signed in, remember preferences, and understand how the Services are used. You can control cookies through your browser settings; however, disabling cookies may affect the functionality of the Services.

07Your Privacy Rights

7.1 General Rights

Depending on your location and relationship with us, you may have the right to:

• Access the personal information we hold about you;

• Correct inaccurate personal information;

• Request deletion of your personal information, subject to certain exceptions;

• Opt out of marketing communications at any time; and

• Ask questions about our privacy and data practices.

To exercise these rights, contact us at legal@sitehubsuite.com. We may need to verify your identity before fulfilling a request. If you are an individual whose information was submitted to the Services by one of our business customers, we may direct you to contact that business directly, as they control that data.

08Children's Privacy

The Services are not directed to individuals under the age of 16, and we do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete it. If you believe a child has provided us with personal information, please contact us at legal@sitehubsuite.com.

09Data Security

We maintain administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you have concerns about the security of your information, please contact us immediately at legal@sitehubsuite.com.

10Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the updated Policy on our website with a new effective date, and, where appropriate, through additional notice (such as an email or in-product notification). Your continued use of the Services after a change becomes effective constitutes acceptance of the revised Policy.
