New to Sitehub? Start here. These guides walk you through setting up your account, adding your first locations, and understanding the core platform — everything you need to get up and running.
Sitehub is a compliance and operations platform built for businesses managing multiple physical locations. It gives you a single place to track permits, key responsibilities, assets, tasks, and contacts across your entire portfolio.
Who Sitehub is designed for
Sitehub is used by location managers, franchise administrators, operations directors, and compliance teams who need to stay on top of requirements across many sites. Whether you manage 5 locations or 500, Sitehub gives you the same visibility.
The three-level data hierarchy
Everything in Sitehub is organised around three levels:
- 1Account — Your top-level organisation. Your account contains all of your companies, users, and settings.
- 2Company — A business entity within your account. Each company can have one or more locations associated with it.
- 3Location — An individual physical site (a store, office, restaurant, etc.). Permits, assets, key items, and tasks are managed at the location level.
The main areas of the platform

When your Sitehub account is created, you will receive an invitation email from the Sitehub team. This article walks you through everything you need to do to get your account ready from day one.
Accepting your invitation
- 1Open the invitation email from Sitehub and click Accept Invitation.
- 2You will be directed to the Sitehub login page. If this is your first time, click Create Password and set a secure password for your account.
- 3Log in with your email address and new password.
Completing your account profile
After your first login, complete your profile details:
- Your name and job title
- Your organisation name
- Primary contact details (phone, email)
Choosing your notification preferences
During setup, Sitehub will prompt you to configure how you receive notifications. You can choose email notifications, in-app alerts, or both. You can also set the frequency of your weekly digest. These preferences can be updated at any time from your account settings.

Once your profile is complete, the recommended next step is to add your first Company and Location — see GS-03.
Companies and Locations are the foundation of your Sitehub account. You need at least one Company and one Location before you can start adding permits, key items, or tasks.
Creating a Company record
- 1From the left navigation, go to Companies and click Add Company.
- 2Enter the company name and any other required fields.
- 3Save the company record.
Adding a Location under a Company
- 1Open the Company record you just created.
- 2In the Locations section, click Add Location.
- 3Complete the key fields — see the table below for details.
- 4Save the location record.
Key fields on a Location record

| Location Name | The name you use to identify this site internally (e.g. "Miami - Brickell Ave"). |
| Address | The physical address of the site. Used for map view and jurisdiction tracking. |
| Brand | The trading name or brand associated with this location, if different from the company name. |
| Status | Set to Active, Inactive, Pending, or Closed. Active locations appear in compliance tracking. |
| Open Date | The date the location began operating. Used for anniversary-based compliance items. |
| Site ID | An optional internal reference code for this location (up to 20 characters). |
The Sitehub dashboard is your home base. Every time you log in, it gives you an immediate read on the compliance health of your portfolio and flags any items that need your attention.
The map view
The interactive map shows all of your active locations as pins. Each pin reflects the compliance status of that location — you can see at a glance which sites are in good standing and which need attention. Click any pin to go directly to that location's record.
Summary tiles
Below the map, the summary tiles give you a count-based snapshot of your portfolio:
- Permit Statuses — A breakdown of your permits by status (Compliant, At Risk, Non-Compliant, In Progress).
- Tasks — Open tasks across your account, grouped by due date.
- Key Items — Upcoming and overdue key items of responsibility.
Click the arrow on any tile to go to the full view for that module.
Action items
The Action Items section at the bottom of the dashboard lists everything that requires your attention today — permits nearing expiry, overdue tasks, and key items past their due date. Items are sorted by urgency.
How dashboard data updates
Dashboard data refreshes automatically. Status changes you make elsewhere in Sitehub (completing a task, logging a verification, etc.) are reflected on the dashboard within moments.
↑ Back to topSitehub uses role-based access to control what each user can see and do. When you invite someone to your account, you assign them one of three roles.
The three roles
| Role | What they can do | Best for |
|---|---|---|
| Administrator | Full access — create, edit, delete records, manage users, adjust account and billing settings, configure notifications. | Account owners, operations directors, compliance managers. |
| Standard User | Can create and edit most records (locations, permits, tasks, key items, contacts). Cannot manage users or billing. | Location managers, area supervisors, office staff who actively manage compliance. |
| Read Only | Can view all records but cannot create, edit, or delete anything. | Auditors, senior leadership, and anyone who needs visibility without edit access. |
Checking a user's current role
Go to Account Settings → Users. Each user listed shows their assigned role. Administrators can change a user's role from this screen at any time.
Your subscription plan, billing details, and invoices are all managed from the Account Settings area of Sitehub. Only Account Administrators can access billing settings.
Finding your current plan
Go to Account Settings → Billing. This screen shows your current plan name, the features included, your next billing date, and the payment method on file.
Upgrading or changing your plan
From the Billing screen, click Change Plan to view available plans and their features. Select the plan that fits your needs and confirm the change. Plan upgrades take effect immediately; downgrades apply at the end of your current billing cycle.
Viewing and downloading invoices
Past invoices are listed in the Invoice History section of the Billing screen. Click any invoice to view or download it as a PDF.
Updating your payment method
Click Update Payment Method on the Billing screen to add a new card or update the card on file. Sitehub accepts all major credit and debit cards.
What happens if a payment fails
If a payment fails, Sitehub will notify your Account Administrator by email and retry automatically. If the payment is not resolved within the retry window, access to paid features may be suspended until the balance is cleared. Contact the Sitehub support team if you need assistance.
