Key Items & Assets

Key items are recurring responsibilities tied to your locations — licences, inspections, certifications, and any obligation with a scheduled date. Assets are the physical items at each site that need tracking over time. Together they give you a complete picture of what is due and what you own.

What are key items and how are they different from permits?

Key items are scheduled responsibilities at your locations that do not fit the permit lifecycle model — they do not have an application, payment, or verification stage. They are simply obligations that must be completed by a certain date, and then repeated on a schedule.

Examples of key items

  • Annual fire extinguisher inspection
  • Grease trap cleaning every 3 months
  • HVAC filter replacement every 6 months
  • Staff food safety certification renewal
  • Lease review or renewal date

Key items vs. permits — when to use each

Use a Permit when… Use a Key Item when…
The obligation involves applying to an authority, paying a fee, and receiving a certificate. The obligation is an internal or vendor task that recurs on a schedule with no application process.
You need to track application, payment, and physical verification as separate steps. You only need to record that the task was completed by a given date.
Examples: health permit, liquor licence, signage permit. Examples: safety inspection, equipment service, lease review.

What are assets?

Assets are physical items at a location that you want to track — equipment, appliances, vehicles, fixtures, or any item with a lifecycle. Each asset record holds details like the purchase date, serial number, warranty expiry, and any notes relevant to its maintenance. Assets can be linked to key items (for example, the annual service of a specific piece of equipment).

Creating a key item

Key items are created at the location level. You can create them directly from the Key Items & Assets module or from within a specific location record.

Creating a key item

  • 1Go to WorkspaceKey Items & Assets, or open a Location record and select the Key Items tab.
  • 2Click Add Key Item.
  • 3Fill in the key item details — see the field guide below.
  • 4Click Save. The key item appears in the location's key item list and on your dashboard.

Key item fields

Field Description
Name A clear description of the obligation (e.g. "Fire extinguisher inspection").
Category Group similar key items together (e.g. Safety, Maintenance, HR, Legal).
Due Date The date by which this instance of the key item must be completed.
Recurrence How often this key item repeats — monthly, quarterly, every 6 months, annually, or custom.
Assigned To The Sitehub user responsible for completing this key item. They will receive notifications as the due date approaches.
Notes Any additional context, vendor details, or instructions relevant to completing this item.
Link to Asset Optionally associate this key item with a specific asset at the location.
Tip: Use the Category field consistently across your locations. It makes filtering and reporting on key items much easier when you have a large portfolio.

Key item statuses and how they update

Sitehub tracks each key item's status automatically based on its due date and whether it has been marked complete. You can also update the status manually at any time.

Key item statuses

Completed
The key item has been marked as done for this cycle. If it recurs, the next instance is created automatically.
Upcoming
The due date is in the future. No action is required yet, but the item appears in your dashboard for awareness.
Due Soon
The due date is within the notification lead time window. Assigned users will receive an alert.
Overdue
The due date has passed and the item has not been marked complete. This appears as a compliance issue on the dashboard.
Not Required
The key item exists for reference only and is excluded from compliance tracking and notifications.

Marking a key item complete

Open the key item record and click Mark as Complete. Sitehub records the completion date, updates the status to Completed, and — if the item recurs — automatically generates the next instance with the updated due date.

Note: When a recurring key item is marked complete, the original record is archived and a new one is created for the next cycle. You can view the full history of completions from the key item's History tab.

Adding and managing assets at a location

An asset record in Sitehub represents a physical item at a location that you want to track — its condition, warranty, service history, and any key items linked to its maintenance.

Adding an asset

  • 1Go to WorkspaceKey Items & Assets and select the Assets tab, or open a Location record and select the Assets tab.
  • 2Click Add Asset.
  • 3Complete the asset details — see the field guide below.
  • 4Click Save.

Asset fields

Field Description
Asset Name A clear identifier (e.g. "Walk-in refrigerator — Unit A").
Category The type of asset (e.g. Refrigeration, HVAC, Electrical, Signage).
Serial Number / Model The manufacturer's serial number or model reference for service records.
Purchase Date When the asset was acquired. Used for age tracking and depreciation awareness.
Warranty Expiry The date the manufacturer or supplier warranty expires. Sitehub can alert you as this date approaches.
Condition Current state of the asset: Good, Fair, Needs Attention, or Decommissioned.
Notes Supplier details, maintenance history, or any relevant context.

Linking assets to key items

When creating or editing a key item, you can link it to a specific asset. This is useful for scheduled maintenance — for example, linking a quarterly service key item to the HVAC unit it refers to. The linked asset appears on the key item record, and the service history appears on the asset record.

Reviewing and actioning overdue key items

Overdue key items appear prominently on your dashboard and in your weekly digest. Here is how to quickly find, triage, and resolve them.

Finding overdue key items

  • Dashboard: The Key Items tile shows a count of overdue items. Click the arrow to open the filtered list.
  • Key Items & Assets module: Use the Status filter and select Overdue to see all outstanding items across your portfolio.
  • Weekly digest: Overdue key items are listed under the action required section of your digest email.

Resolving an overdue key item

  • 1Open the overdue key item record.
  • 2If the task has been completed outside of Sitehub, click Mark as Complete and enter the actual completion date.
  • 3If it is still pending, update the Assigned To field if needed and add a note in the Notes field to record the reason for the delay.
  • 4If the item is no longer applicable, update the status to Not Required to remove it from compliance tracking.
Note: Marking an overdue item as complete with a past date records it accurately in the history — the completion date you enter is saved on the record, not today's date. This keeps your audit trail accurate.

Tasks

Tasks are how you and your team track and manage action items in Sitehub. Whether it is following up on a permit renewal, scheduling a vendor visit, or assigning an internal action — tasks keep work visible and accountable across your locations.

How tasks work in Sitehub
TSK-01 · All users · All tiers

Tasks in Sitehub are flexible action items that can be created by any user and assigned to any team member. They can stand alone or be linked to a specific location, permit, or key item — giving context to the work that needs doing.

What tasks are used for

  • Following up on a permit renewal or verification step
  • Scheduling a vendor call or site visit
  • Assigning internal compliance actions to team members
  • Capturing ad-hoc to-dos that relate to a specific location
  • Flagging an issue at a site for someone to investigate

How tasks differ from key items

Tasks Key Items
One-off or ad-hoc actions. Scheduled recurring obligations.
Created by any user and assigned to any team member. Created against a location's compliance schedule.
Can be linked to any record (permit, location, key item). Tied directly to a location.
No recurrence — each task is a standalone item. Auto-generates the next instance on completion.
Note: Tasks appear on the dashboard Tasks tile and in the weekly digest. They are sorted by due date — overdue tasks appear at the top.

Creating and assigning a task

Tasks can be created from the Tasks module, from a location record, or directly from a permit or key item record. Creating a task from within a record automatically links it to that record.

  • 1Go to WorkspaceTasks, or open the record you want to link the task to and click the Tasks tab.
  • 2Click Add Task.
  • 3Complete the task details — see the field guide below.
  • 4Click Save.

Task fields

Field Description
Task Name A clear description of the action required (e.g. "Call health inspector re: reinspection date").
Due Date When the task should be completed. Sitehub will alert the assignee as this date approaches.
Assigned To The Sitehub user responsible for completing the task. Defaults to the user creating the task.
Priority Low, Medium, or High. Used for sorting and visual emphasis in the task list.
Linked Record Optionally link to a Location, Permit, or Key Item to give the task context.
Notes Additional instructions, background information, or context for the assignee.
Tip: When creating a task from within a permit or key item, the linked record is set automatically. This saves time and keeps the relationship clear for whoever picks up the task.

Task statuses and due dates

Task statuses reflect where the work sits in your workflow. You update them manually as progress is made — Sitehub does not change task statuses automatically, except when a due date passes without completion.

Task statuses

Status Meaning
To Do The task has been created but work has not started. Default status for all new tasks.
In Progress Work is underway. Update to this status when the assignee begins work.
Pending Waiting on something external — a response from a vendor, authority, or another team member.
Completed The task is done. Sitehub records the completion date and removes the task from active views.
Cancelled The task is no longer needed. It is archived but visible in the task history for the linked record.

Overdue tasks

When a task's due date passes and its status is still To Do, In Progress, or Pending, Sitehub automatically flags it as overdue. Overdue tasks are highlighted in the task list and appear in the dashboard action items. The assignee and the task creator both receive a notification.

Updating a due date

Open the task record and edit the Due Date field. You can extend or bring forward a due date at any time. Sitehub recalculates the notification schedule automatically when a due date changes.

Managing your task list
TSK-04 · All users · All tiers

The Tasks module gives you a consolidated view of all tasks across your account. You can filter, sort, and bulk-update tasks to keep your list manageable.

Filtering your tasks

Use the filter bar at the top of the Tasks module to narrow your list:

  • Assigned To — view tasks assigned to a specific user, or only your own tasks.
  • Status — filter by To Do, In Progress, Pending, Completed, Overdue, or Cancelled.
  • Priority — show only High or Medium priority tasks.
  • Due Date — filter by due this week, this month, or a custom date range.
  • Location — see all tasks linked to a specific location or company.

Bulk updating tasks

Select multiple tasks using the checkboxes and use the bulk action bar to reassign, update status, or set a new due date across all selected tasks at once. This is useful when a team member changes role or when you need to push back a group of deadlines.

Viewing tasks from a location record

Open any Location record and select the Tasks tab to see all tasks linked to that location, regardless of who created them or who they are assigned to. This gives location managers a full picture of outstanding work at their site.

Task notifications and reminders
TSK-05 · All users · All tiers

Sitehub sends task-related notifications to keep assignees on track and alert creators when action is needed. Notification timing is based on the task's due date.

When task notifications are sent

Trigger Who is notified
Task assigned to you Assignee receives an immediate notification.
3 days before due date Assignee receives a reminder.
Due date reached (task still open) Assignee and task creator both notified.
Task becomes overdue Assignee and task creator notified. Appears in next weekly digest.
Task marked complete Task creator notified if they are a different user from the assignee.

Controlling task notifications

Task notification preferences are managed from your Notification Preferences — go to your profile icon and select Notification Preferences, then adjust the Tasks section. You can turn email and in-app task notifications on or off independently.

Note: Even if you turn off individual task email notifications, overdue tasks will still appear in your weekly digest if the digest is enabled. The digest is designed to ensure nothing is missed across your account.
